How to Read a COA, and What Else to Ask For
A certificate of analysis is the one document that describes the batch in your hand rather than the factory that made it. Most buyers file it unread. Here is what each section means, which numbers to check, and the four documents that matter more than people expect.
The COA is the only document about your batch
Certificates describe a plant. A certificate of analysis describes the specific batch sitting on the pallet, and it is the only piece of paper in the whole transaction that does.
That makes it the document worth reading carefully and the one most often filed unread. Buyers ask hard questions about MOQ and unit price, then accept a COA as a formality — which is backwards, because the COA is where you find out whether you got what you specified.
Every shipment we send carries a COA and an MSDS. What follows is how to actually read one.
The five sections, and what each is for
A COA has a predictable shape. The headings vary by lab; the content does not.
1. Batch identification. Product name, batch or lot number, manufacturing date, expiry or best-before date, quantity. This section's job is to tie the document to physical goods. If the batch number on the COA does not match the batch number printed on the cartons you received, stop and ask before you sell anything.
2. Specification versus result. The core of the document. Two columns: what the product was supposed to be, and what testing found. Most people read only the second column. The first column is where the interesting problems live — see below.
3. Identity and potency. Confirms the active is the ingredient claimed, at the amount claimed. For a botanical extract this should also state the marker compound and its percentage, because "500 mg of extract" and "500 mg of extract standardised to 40% marker" are different products at different prices.
4. Purity and safety panels. Heavy metals, microbiological counts, and where relevant pesticide residues, solvent residues or allergens. These are pass-or-fail against a limit.
5. Signature and date. Who released the batch, and when. An unsigned COA is a draft.
The specification column is where problems hide
A result that passes a loose specification tells you nothing useful. This is the trap, and it is not usually anyone acting in bad faith — it is a specification nobody agreed on explicitly.
Three things to check in that first column:
- Is the potency specification a range or a floor? "≥ 500 mg" and "500 mg ± 5%" are different commitments. The first permits 700 mg, which costs you money on an expensive active and may put you over a label limit.
- Are the heavy metal limits the ones your market requires? Limits differ by destination. A batch can pass a specification written for one market and fail the limits of another. This is your call to make, not the factory's to guess.
- Does the specification match your own label? If your label says 1,000 IU and the specification says 800-1,200 IU, some units will not match your label. Catch that before printing, not after.
In-house testing versus third-party
Our own lab runs identity, potency, heavy metals and microbial panels, and third-party verification is available on request. Both have a place, and the distinction matters more to some buyers than others.
In-house testing is faster and covers every batch. That is its value: it is what makes per-batch release possible at all. A plant that sent every batch to an outside lab would either be slower or would test less often.
Third-party testing is for when the reader of the document needs someone without a commercial interest to have run it. Three situations where it is worth the cost and the days:
- A retailer or marketplace requires it as a condition of listing
- You are entering a market whose importer asks for independent verification
- It is your first batch with a new formula and you want the baseline established by someone other than the supplier
For a repeat order of a stable formula going to a market you already sell in, in-house per-batch testing plus third-party on a periodic basis is the normal arrangement. Decide which one you are in before the order, because third-party testing adds days that belong in the schedule rather than in a surprise at the end.
Four documents beyond the COA
The COA gets asked for. These get forgotten, and two of them are the ones a customs officer or an auditor actually wants.

Batch records are worth understanding even if you never request one. They document in-process checks and line clearance at each step, and batch numbers trace back to raw material lots — so a finished bottle can be followed back to the drum it came from. That traceability chain is what makes a targeted recall possible instead of a total one. Ask whether it exists; you do not normally need copies.
Stability data is the one buyers skip and later need. Your label carries an expiry date. Stability testing is the evidence behind that date. If you are printing a two-year shelf life, ask what supports it — for a well-established formula there is usually existing data, and for a new formula there may not be yet, which is a real answer worth having early.
Market-specific paperwork beyond this depends entirely on where you are selling. We prepare what your destination asks for, but tell us the destination at the briefing stage rather than at the shipping stage.
Batch paperwork and factory certification get checked at different moments — certificates during sourcing, COAs on every delivery afterwards — and a certificate whose scope does not cover your dosage form will not be fixed by good COAs later. What to do with the first COA you receive
Read it against your specification, not on its own. Then keep it — the COA for each batch belongs in your own records for as long as that batch is in the market, because if a question ever arrives about a unit someone bought, the batch number on that bottle is how you find out what was in it.

For as long as that batch is on the market, and sensibly for a period after. If a question arrives about a specific unit, the batch number on the bottle is how you identify what was in it and what testing was done. Keeping COAs is the difference between answering that question in an hour and not being able to answer it.
